The Simple Systems Every Small Business Should Have

Most small business owners don’t realise how much energy they waste every week because things live in their head. Tasks, reminders, client notes, invoices, content ideas… it all adds up! And when everything feels a bit chaotic, it’s difficult to stay consistent or grow.

Here are some core systems that make the biggest difference.

1.A home for your tasks

Pick one place. Not three. Not “whatever app I’m using today.”

Your task hub should make it easy to see:

  • what needs doing

  • what’s blocked

  • what can wait

Notion, ClickUp and Trello are all perfect for this.

2. A simple client process

Clients shouldn’t feel lost. You shouldn’t feel lost.

At minimum, map out:

  • how someone enquires

  • how they book

  • how you onboard

  • how you deliver the work

  • how you offboard

Even a simple checklist can save you hours.

3.A place for your content

If you post on instinct every week, you’ll burn out.

Create a single content hub where you keep:

  • ideas

  • drafts

  • hashtags

  • templates

  • past posts

  • repurposing notes

It instantly makes content easier.

If you don’t know where to start, you can download my Notion Content Hub for free here.

4. A money flow that feels calm

This can be as simple as a Google Sheet.

Track:

  • what you earned

  • what you spent

  • what you need to save for tax

  • what subscriptions you actually use

Set a 10-minute check in once a week.

5. A follow-up system

Most small businesses lose money simply because they forget to follow up.

Have one simple tracker for:

  • leads

  • warm chats

  • referrals

  • renewals

If you want help building any of this, this is exactly the type of support I offer through my services.
